General Function


The elementary school secretary is responsible for performing secretarial duties and other special projects as requested by the principal or superintendent, and shall work closely with teachers, parents, students, administration, and the public. 


Immediate Supervisor - Elementary school principal

 

Duties and Responsibilities

 

The elementary office secretary shall:

  • Coordinate aspects of student registration, including processing student information, etc.
  • Maintain accurate student attendance records (daily) and prepare attendance reports. (If requested by administration for review)
  • Answer phone calls, route calls, respond to inquiries, and receive visitors.
  • Order and maintain inventory of office and general classroom supplies.
  • Design, revise, print, and distribute school materials, i.e., elementary handbooks, registration packets, newsletter, report cards, etc.
  • Prepare correspondence, including letters, memos, bulletins, and notices.
  • Train and supervise student office aides.
  • Collaborate with the administration and staff to coordinate elementary school activities.
  • Assist teachers in preparing instructional materials as requested, including photocopying, spreadsheets, etc.
  • Sort and distribute mail.
  • Operate all office machines, including fax, copier, laminator, and computer.
  • Assist with the elementary school substitute teacher system.
  • Admit students back to school following an absence or tardiness.
  • Assist with a variety of student activities, including registration, withdrawal, and transfer.
  • Coordinate with nurse and review the health plans of elementary school students.
  • Supervise students as scheduled.
  • Perform other duties as may be assigned by the immediate supervisor.

 

 

Position Qualifications

  • High school diploma or the equivalent. Additional education preferred.
  • Demonstrated ability to do assigned tasks.
  • Have the ability to multitask in a high-traffic and interruption-driven environment.
  • Have good verbal and written skills.
  • Be able to maintain confidentiality in all matters.
  • Demonstrated ability with Microsoft Office Suite, Google Suite, and Adobe
  • Such alternatives to the above qualifications as the superintendent may find appropriate and acceptable.
